Cambridgeshire County Council Engagement and Consultation Survey Privacy Notice

Cambridgeshire County Council values your privacy and is committed to protecting your personal data. We are dedicated to engaging and consulting with the public and other stakeholders on various initiatives.

This privacy notice outlines information on the collection, use, and protection of your personal data during such engagement and consultation activities on the yourvoice.cambridgeshire.gov.uk website.

1. Purposes for processing your personal data

We will only ask for personal data where there is a need.

We process your personal data for several important reasons such as to comply with legal obligations and to serve the public interest.

Our engagement and consultation activities aim to gather diverse perspectives to inform decisionmaking processes.

  • Legal Obligations – Where required by law, our lawful basis for processing your information is to comply with statutory obligations, such as those outlined in the Equality Act 2010 and the Local Government Act 2000 to promote the economic, social, and environmental well being of our area.
  • Substantial Public Interest – For special category data processed under legal requirements, our lawful basis is UK GDPR Article 9(2)(g), focusing on substantial public interest.
  • Consent – For stakeholder engagement and consultation activities not legally mandated, we rely on your consent. You may withdraw this consent at any time.

Every engagement and consultation survey published on yourvoice.cambridgeshire.gov.uk will be accompanied by its own General Data Protection Regulations (GDPR) statement. This statement will set out the purposes for the data that we are asking for, and how it will be analysed, presented and stored. We may need to share the data collected with partners and consultants for analysis, for example, and this will be set out clearly within the GDPR statement placed at the beginning of each survey.

Further information on how we process personal data, and your rights around this, can be found at https://www.cambridgeshire.gov.uk/privacy

  1. 1.1 Consequences of not providing personal data

We will only ask for personal data where it is necessary. Where we do ask for personal data, failure to provide personal information may limit our ability to analyse survey results comprehensively. This could affect the accuracy and effectiveness of decisions made which the survey will be informing. Without your data, we may not be able to fully understand stakeholder perspectives, potentially hindering our ability to make informed decisions and develop initiatives that best serve the community.

2. Types of information we collect

Depending on the engagement or consultation, we may collect:

  • Basic personal identifiers (e.g., name, address) to identify and contact you.
  • Work email address to communicate survey results and updates.
  • Responses to stakeholder engagement questions to understand your perspectives.
  • Equalities information to ensure compliance with legal obligations and promote inclusivity.

2.1 Information from other sources

We collect personal data directly from you and do not obtain information from other sources for this purpose.

3. International data transfers

Your information will not be transferred outside the United Kingdom.

4. Sharing your information

For some surveys, results may be shared with partners. This will be set out within the GDPR statement that accompanies each survey. Information will normally be shared in a way that does not identify who has answered the survey and will only include identifiable information where this is strictly necessary. We may also share data in specific situations, including:

  • Compliance with legal obligations
  • Prevention or detection of crime
  • Protection of vital interests.

5. Data retention

Personal data collected during stakeholder engagement will be retained only for as long as necessary to fulfil the purposes outlined, ensuring we can effectively analyse and utilise the information provided, in accordance with our data retention policies.
